HOW TO Manage your daily tasks with Calendars

1 Add your accounts

During the set-up process you can add calendar accounts from iCloud, Google, Outlook, and more. You can also add local calendars. To add another one later, click Calendars > Add Account and follow the on-screen prompts.

2 Show or hide calendars

Click the three-line icon in the topleft corner to see a list of your calendar accounts. Click the checkboxes by each calendar to add or remove them. You can change calendar colours by clicking Edit Calendars at the bottom.

3 Create an+event

Click the blue ‘ ’ in the top-right corner to create a new event. Enter an event title, date and time, assign it to a calendar, and pick from extra options like attendees and a location. When you’re done, click Save.

4 Natural language input

Calendars knows natural language. When creating an event, type ‘Meeting Tuesday at 4pm’ and Calendars will schedule the event at the correct time. It understand­s contact names, locations, times, and more.

5 Video-calling apps

When creating an event, click Add Video Call and select an app from the list. Calendars will then automatica­lly create a meeting link with a password for your video call. You might need to log into the video app first.

6 Views and tasks

Change the view using the Day, Week, or Month buttons at the top to zoom in or out of your schedule. If you’ve connected Calendars to a reminders app like Google Tasks, your to-dos will be stored in the Tasks tab.

7 The day today

Click Day to see what’s coming up on your plan today. At the top is the date, the weather, and a list of your tasks and all-day events. Underneath is your schedule, with each event blocked out for its planned duration.

8 Drag and drop

Calendars has some neat timesaving features. In any view you can drag and drop a calendar event to move it to a new time. That’s quicker than clicking each event, manually changing the time, and then saving.

9 Make some plans

On the right, click Plans to see a list of your reminders, which you can drag on to the calendar. Click the arrow by Today to view your tasks inbox, upcoming to-dos, completed tasks, or to filter by each reminder list.

10 Add a reminder

At the top of the reminders list, click ‘Add a new task’ and start typing. This is a quick way to add reminders without having to navigate to the Tasks tab. When you’re done, you can drag the reminder to your calendar.

11 Shortcuts

In the top right, click Shortcuts > Create a new one. Enter the shortcut’s name and set an emoji and event duration, if you like. Now just drag the shortcut from this menu on to your calendar whenever you need it.

12 A new colour scheme

By default, events take the colour of the calendar they’re assigned to. But you can set a new colour (just once or for all future events if it repeats) by clicking the event, then clicking Edit and picking a new shade.
