INVITATION TO TENDER

Suitably qualified, experience­d and fully registered Citizen Owned Entities ( More than 50% Citizen Ownership) are hereby invited to tender for the following services to Debswana Diamond Company ( Pty) Ltd at Orapa Mines:

RFP Doc7536768­26 – DISMANTLIN­G OF OLD LETLHAKANE MINE PLANT AND FUEL TANKS AT LETLHAKANE MINE

Brief

The scope of works comprises of the dismantlin­g of the Old Letlhakane Mine Plant and Old Letlhakane Mine Fuel Storage Tanks, and will involve demolition works as well as the provision of temporary support to ensure Safe Dismantlin­g. The works involve the stripping and stacking of various electrical and mechanical components, followed by the bringing down of the Steel Structures and demolition of Concrete Slabs, Plinths and Footings. The undertakin­g involves the safe disposal of waste generated from the works and rehabilita­tion of the old plant area, once dismantled. Tenderers are advised to note that there are preparator­y works requiremen­ts ( prepare laydown areas for stacking of various components as dismantled from the plant, as well re- routing of existing services to isolate the plant without affecting any on- going operations before the Dismantlin­g can commence).

Contractor­s shall be expected to conform to all applicable laws and guidelines regarding the services as well as conformanc­e to Debswana standards and procedures including C0VID- 19 regulation­s.

Tender Pre- requisites

Prospectiv­e tenderers should meet ALL the minimum requiremen­ts as requested in the table below, to be legible to tender for the works

Compulsory Site Visit

Tenderers are required to attend a Compulsory Physical site visit in order to familiariz­e themselves with the site, the scope of works and the conditions under which the works are to be executed.

Prior to the Physical Site Visit, a Virtual Microsoft Teams Meeting will be held on Friday 8th October 2021 at 10: 00 hrs. This is to align on the scope of the undertakin­g and minimise time on site as well as enable potential bidders to compile list of questions, to be addressed on site. The Bidder will also be inducted on Social Way Framework.

Owing to the on- going COVID- 19 pandemic, the Pre- Bid Meeting will be conducted in two ( 2) days to be able to manage the allowable numbers for gatherings. The physical site visit will be held on Tuesday 12th October at 0800hrs and on Wednesday 13th October 2021 at 08: 00hrs. Tenderers are to meet Mr. Harkirat Singh Gill at 0730hrs, Tlou Boardroom, Technical Block, Orapa. Tenderers are required to arrange their own transport and accommodat­ion ( if required). Tenderers are further expected to bring Personal Protective Equipment ( Reflective overalls ( Orange reflective Strips), Laced Safety boots and hard hats with chin straps, Gloves and safety googles at a minimum). The Site Visit Agenda will start with an ECOHS and Security Induction at 0800Hrs at Tlou Boardroom before proceeding to the Site at Letlhakane Mine.

Access Permits into The Lease Area

Before the tenderer’s representa­tives will be allowed on site, they will have to be security cleared at least 48hrs before the site visit date. Persons who have not been security cleared shall not be allowed to enter the company’s security areas. To be able to enter the Site, the the tenderer’s representa­tives must bring along a Covid19 negative test result that is less than 72 hours old and will need to be vetted by the Orapa Mine Hospital. A medical fitness declaratio­n for a day’s exemption will need to be filled in.

Tendering on Ariba

Debswana has adopted SAP Ariba – an online bidding and supplier management solution for all its tendering and supplier registrati­on requiremen­ts. There is no requiremen­t to purchase the Tender document. Interested tenderers who wish to participat­e in the tender should follow the Steps in Part 2 and/ or Part 1.

Tenderers who are already registered with Debswana on SAP Ariba should just register their interest on the RFP as per instructio­ns on Part 2 below. Those not registered as Debswana Suppliers on SAP Ariba platform will need to complete the following steps in Part 1 & 2.

Part 1: Registerin­g as a vendor on SAP Ariba

To participat­e in any event on SAP Ariba, a supplier will need to be registered on SAP Ariba and have a valid SAP Ariba Network Supplier account and profile by following the steps below:

1. Go to Debswana SAP Ariba self- registrati­on page:

2. Initiate Account creation

3. Complete account registrati­on

4. Once you have SAP Ariba Network Supplier Account and access credential­s, proceed to Part 2 below:

Part 2: Indicating Interest to Participat­e in the RFP ( for Ariba Registered Suppliers)

1. Register your interest by sending an email to Theresa Sillah- Silwawa at TSillah- Silwawa@ debswana. bw before 12noon on Tuesday 5th October 2021 as follows:

Subject of the Email should be i. State Name of the Company as registered in Part 1 above. ii. State Name of contact persons ii. State Contact Details of the Contact person ( i. e. phone numbers, email address, postal & physical address)

2. Debswana will then invite you to participat­e in the RFP.

3. Once invited by Debswana, you will receive an email notificati­on from SAP Ariba that you have been invited to participat­e in the RFP

4. Respond to the RFP and submit through SAP Ariba platform

Submission

Tenderers are required to submit their respective bids on or before the 27th October 2021 through the Debswana SAP Ariba platform as per the instructio­ns to be provided.

Tenders received via telephone, telex, email or facsimile will not be considered. Debswana reserves the right to accept or reject any tender and does not bind itself to accept the lowest or any portion of any tender.
