Letter of Apology

A letter of apology may be a personal letter that explains why the writer was unable to do something he or she had agreed to do.

When writing such a letter, you should do the following:

Paragraph 1 [Express remorse.] Start by specifically stating that for which you are apologising. Briefly describe what you did and express regret for not being able to do what you had agreed to.

Paragraph 2 [Take responsibility.] Clearly indicate that you are taking responsibility for your actions, as described above. Do not make excuses; instead, make it clear that you own your role in the situation. Explain the reasons and, if necessary, apologise.

Paragraph 3 [Make amends.] Offer a way to make things right. If appropriate, express the hope that the reader will understand and may forgive you. Depending on the situation, you may offer to do something else of importance for the recipient.

Paragraph 4 [End politely] End with a personal, friendly message for the reader. Include a statement designed to help the recipient understand that you will not make the same mistake again in the future.
