PLANNER? SHOULD I HAVE AN EVENT

-

I have an event coming up and am wondering whether it is mandatory to work with event planners when we can organise the event ourselves.

AOver the years, event planning and management has matured to become a professional service much like any other paid service that requires certain skill sets, experience and expertise. Events are made up of several moving pieces that need to be closely monitored and carefully positioned to ensure efficiency and a hassle-free event experience. Event planners welcome your involvement in every step of the process when it comes to making your event come to life. You may freely express your expectations to the event planner and they’ll make sure to carry out the necessary steps to achieve that result.

It begins with a concept in your mind. However, to bring it to life, it involves contribution of several different vendors and service providers along with hours of communication over the telephone and on email coupled with timely coordination on the day of the event. An event planner can also bring value added services such as negotiating best contracts on your behalf, selecting the best set of credible and professional vendors, liaising with all parties involved for timely execution, settling invoices on your behalf, drafting out contingency plans in case of an emergency and a whole lot more.

With professional advice, a network of reliable partners and an experience of having created and executed successful events, an event planner can be a stress buster. That said, it is important to identify the right event planner and invest in their services sensibly. ‘All that glitters is not Gold’ is truly apt here. Do not be deceived by online profiles or flashy websites. Check for past work references or ask for past client references to be sure about your pick for an event planner.

Once you’ve picked your event planner, spend as much time possible to explain to them what you’ve envisioned for your event. While an event planner can always suggest ideas and concepts for your event, it is recommended to have an active communication going so you can put forward your ideas, interests, preferences and more importantly, address the dos and don’ts clearly. Check for an progress update regularly so you know where you stand at any particular time during the planning process.

The idea is for you to relax and enjoy the festivities and celebrations with your guests versus you having to co-ordinate with multiple vendors and being hassled with operations on the day of the event.
