Set up a meeting In lightning

Create meeting 1

Navigate to the proposed day for your meeting in Lightning and double-click it to create a new Event. Give your meeting a suitably descriptiv­e title, record where the meeting will take place under ‘Location’ and choose which calendar to place the meeting in. Click the ‘Category’ drop-down menu to tag the meeting if necessary. Finally, enter start and end times for the meeting.

Send invitation 3

Click OK. Make any further changes as required and verify ‘Notify attendees’ is ticked; the ‘Separate invitation per attendee’ box is only required if you want to send individual emails to each person you’re inviting. Once done, click ‘Send And Close’. Your recipient will receive an email with the agenda and the opportunit­y to respond yes, no or maybe.

Invite attendees 2

Click the ‘Invite attendees’ button and a new window pops up. Use the Zoom button to make the whole meeting’s timespan visible. Start typing the contact’s name to select it from your address book or enter their details using the following format: name . Click their icon to change their status from ‘Required Attendee’ if necessary. You can also invite groups.

Review and update 4

If you and your contact are on the same CALDAV server (or both using Google calendars), then when they click their response, your calendar will update automatica­lly – look under Attendees to get a fresh view of people’s availabili­ty, then use the ‘Options > Status’ menu to update the meeting’s status to one of tentative, confirmed or cancelled.
