Atul Limited: Integrated Accounts Payable & Digital Invoice Scanning System
The IT team of Atul automated process from invoice receipt to payment release
Functionality & Features: This is a business process automation project where the process from “Invoice receipt” to “Payment Release” was automated in Atul Limited. Movement of the invoice to the accounts payable desk through various channels was not an “IT Area” of operation – BUT when the persistent pain of delayed vendor payments was experienced by the purchase F finance team, the IT team collaborated to think about eliminating this error factor so that the organizational efficiency can be increased.
Technology used: Oracle Applications eBusiness Suite R12 ERP,Oracle PL / SQL, Microsoft Exchange.
USP: Plug-ins F interfaces of the Canon MFD were programmed by the Atul IT team through which the scanned image from the MFD was converted into PDF F the same was stored directly into the File Server without any intermediate intervention.
Impact: Delay of 8 to 12 days between “Receipt of Invoice in Atul” and “Visibility of Invoice on Accounts Payable Desk” used to result in delay of “CENVAT” claim reversal, which was about INR 30 lacs per day. Post implementation, the company is able to save —3 crores (30 lacs x 10 days). Besides, post implementation the “Accounts Payable” cycle is fully transparent, fast, error-free, and efficient and it works with lesser manpower/man-hours.
Overall, what’s good about this project is the internal team’s ability to develop business useful applications in-house.
