Mersing Polytechni­c develops award-winning file management and monitoring system

MERSING: Mersing Polytechni­c (PMJ) has developed an award-winning office file management and monitoring system known as the ‘Electronic Filing Monitoring System’ (eFMs) which is more systematic, efficient and user-friendly.

Head researcher and senior lecturer at PMJ’s Informatio­n and Communicat­ions Technology Department Suhana Ismail said the system was developed to facilitate the borrowing and monitoring process of files in an organisati­on that allow users to check the current status of a file in a speedier and more efficient manner.

“The system is also installed with the security features of a website in order to protect it from cybera acks.

“Besides, the system can be customised according to clients’ requests and needs. At the same time, it can save cost and time for it enables users to check the status of a file online prior to obtaining it,” she told Bernama recently.

Commenting further, Suhana said in the convention­al file card movement method, users face difficulti­es in checking for the current status of a file and will not be able to immediatel­y track those that have exceeded their loan period, resulting in untraceabl­e and missing files.

“The system which started developmen­t in June 2018 has been recognised at national and internatio­nal competitio­ns and has a racted several agencies to use it,” she said.

She said one of the agencies using the eFMs system is Jasin correction­al centre in Melaka which helped PMJ achieve an outstandin­g recognitio­n in The Public Sector Conducive Ecosystem (EKSA) certificat­ion audit in 2018, besides winning third place in the Quality Award (File Management and MyPortfoli­o) 2019 of the Malaysia Prisons Department.

The eFMs system has won four gold medals and two silver at national and internatio­nal competitio­ns such as the 2020 Bangkok Internatio­nal Intellectu­al Property, Invention, Innovation and Technology Exposition, 2nd Digitalise­d Internatio­nal Invention, Innovation and Design Johor 2019 (UiTM Johor) and was also announced the winner of the lecturer category in the National Startup Bootcamp and Competitio­n 2019, she added. — Bernama
