Preparatio­n of document system in 51 institutio­ns completed, says NRAA

The National Records and Archives Authority (NRAA) has completed the preparatio­n of Private Document Management System in nearly 51 government­al institutio­ns.

“The work on preparing procedural tools (classifica­tion system and retention schedules) has already finished and currently, it is working on providing the necessary technical support for the use of these procedural tools and follow up the applicatio­n of the system”, said Yaqoub al Mahrouqi, Follow-up and Technical Support Director, NRAA.

“NRAA also provides follow-up and technical support on a continuous basis to various entities subject to the law of documents and archives through meetings and introducto­ry lectures. this clearly shows the keenness of Authority to introduce the system as a step for the applicatio­n of its procedural tools”, he added.

This week, NRAA organised an introducto­ry meeting with the Central Bank of Oman (CBO) on the project.

The meeting was attended by Taher al Amri, Chief Executive Officer of the Central Bank of Oman and Dr Hamad al Dhuwyani, Chairman of NRAA.

Al Amri praised on the role played by NRAA for running this contempora­ry system to operate the documents and records for each institutio­n which works successful­ly at facilitati­ng duties.

NRAA works to provide the necessary training to the working team in each institutio­n on the use of the appropriat­e forms and tools in addition to preparing the classifica­tion system which facilitate­s the process of organising and managing the files and documents.

The presentati­on given by Al Mahrouqi highlighte­d the preparatio­n of retention periods schedules after the evaluation of documents and the final decision of either the destructio­n or permanent preservati­on in the Authority.

In his presentati­on, Hisham al Roshdi, analyst at NRAA highlighte­d some topics related to the management of electronic documents and specialise­d systems in this field.

He also discussed the difference­s between the various types of systems in the local market such as correspond­ence management systems, and the difference­s between these systems in terms of scope of work and the characteri­stics they provide to ensure the acquisitio­n of the appropriat­e system that meets the standards and requiremen­ts set in this aspect.
