Let’s be honest here. Hardly anyone reads all the emails they receive.
“I only read 4-5% of all the emails I receive per day!” boasted the CEO of a top Sri Lankan Confectionary Company.
So what should we do? When email is the most practical means of communication, the answer is to write more effective and practical emails!
Here are tips for you to ensure that your emails are effective:
Personalize the email
This is the first point to remember. When there are a host of recipients, the general feeling is that ‘I’m not that necessary as a reader. Someone else will respond!’ An email written directly to the recipient is more likely to get a response.
Make the main point early
What is the point of the email? What do you want to communicate through the email? Try to limit the email to one main idea. If there are multiple pieces of information, say that up front too. It might be helpful to bold or underline the main ideas, (but don’t use weird colors or oversized font.) Highlight the most pertinent facts you want to convey, dates or locations, especially if the email is very long. If you don’t capture the attention of the reader soon, you probably will lose it!
Highlight or bullet-point main ideas
People can often read lists easier than paragraphs when dissecting detailed information. The points you want to make will seem more streamlined and easier to follow if you number them, use bullet points or highlight them in some way.
