Customise sound alerts for email contacts

Make Office Better Customise your email alerts

Whenever you receive an email you’ll hear a default sound alerting you. It’s easy to customise this sound for specific contacts. This can help you quickly identify important emails that need urgent attention. To do this, first select any email from the contact you want to create a customised sound alert for.

Next, click the Rules button in the Move section at the top right, then click Create Rule. In the pop-up window that opens, you’ll see several ‘rules’ you can apply to emails from that person. Tick the first (From) box at the top to confirm the contact’s name. Tick ‘Play a selected sound’ (see screenshot).

You’ll notice that Windows Notify Email is the default sound. Click the Browse button to open the default Media folder on your PC, select the sound you want, then click Open. Click the Play icon to hear how this sounds. Click the Browse button again and change the sound if you’re not happy with it.

Once you’ve made your selection, click OK twice to confirm your changes. Whenever you receive an email from that contact in future you’ll hear the specific sound you selected.

If you use the online versions of Onedrive ( www.onedrive.live.com) or Google Drive ( www.google.com/drive) to create documents, you can also restore earlier versions of these.

In Onedrive, navigate to the document you want to restore, right-click it, then click ‘Version history’. Look at the column on the left to see the previous versions listed under ‘Older versions’. Click one to see a preview of that version of your file, then click ‘Save to Onedrive’ (top right) to restore it.

In Google Drive, find the document you want to restore, right-click it, then click ‘Manage versions’. When the ‘Manage versions’ window open, scroll down to see all available versions (listed in date order). When you find the version you want, click the three vertical dots to the right of it, then click Download.

You can also click ‘Keep forever’ to prevent that version from being deleted after 30 days (the period of time Google Drive keeps old versions), or click Delete to remove it.
