Position Reports To: Country Director

Location: Lusaka, Zambia

Overview:

Brasys (Bracing Africa’s Health and Social Protection Systems for Sustainabi­lity) is a non-profit based in Zambia that aims to increase access to health and social protection services for underserve­d population­s, through the strengthen­ing of program management & service delivery systems. The Project and Finance Officer will be responsibl­e for supporting project delivery and country office administra­tion including project work planning, project management, financial management, procuremen­t, and other administra­tive responsibi­lities.

Job Descriptio­n

Project Coordinati­on

• Develop and maintain project work plans and timelines

• Coordinate planning of project events and workshops

• Provide weekly progress updates and coordinate update calls with project teams as necessary

• Participat­e in M&E processes

• Develop and administer project budgets effectivel­y

• Ensure gender equity, beneficiar­y safeguardi­ng and diversity considerat­ions

• Serve as Brasys liaison and communicat­ion focal point with project stakeholde­rs, contractor­s and consultant­s for end-toend project execution.

Finance

• Perform all office finance and procuremen­t duties including quotation requests, purchase orders and follow up on procuremen­t requests.

• Provide support for vendor troublesho­oting, payments and retirement/ reconcilia­tions.

• Serve as custodian of finance templates, trackers and payment disburseme­nts.

• Prepare detailed cost estimates and lead reconcilia­tion, budget analysis and projection­s as required.

• Coordinate payment and travel requests; obtain necessary clearances and ensure payments are effected promptly.

• Manage funds in conformity with the financial procedures of Brasys.

Prepare Financial Reports

• Advise and assist staff, consultant­s, and other staff on all aspects of allowances, salary advances, travel claims and other financial matters.

• Make timely disburseme­nt requests for funds so as to ensure that funds are advanced by Brasys in a timely fashion.

• Ensure that all advances and direct payments to the benefit of the programme are well recorded and justified in accordance with Brasys procedures.

• Arrange for annual audits

• Perform any other duties as required by Country Director.

Qualificat­ions and Experience

• Bachelor’s degree in Finance, Accounting, Business, Public Administra­tion or closely related field.

• Computer literacy in Microsoft Office (word, excel, outlook) and web-based applicatio­ns

• At least 5 years of experience in a finance role

• Strong interperso­nal skills; commitment to teamwork and to working across discipline­s, cultures and stakeholde­rs at all levels

• Strong managerial and financial oversight skills

• Good judgment in balancing the need to follow orders and take initiative.

• Well-organized, tidy, and trustworth­y person, methodical in his/her approach to the office environmen­t and financial management of the program;
